Notes

We ship exclusively through FedEx, although we can use DHL (talk to Robin). All pickups must be scheduled!

Procedure

Getting Started: FedEx Instructions for setting up an online login.  You will need ESE’s FedEx account number.

Creating a Shipment:

  1. Login to Fedex.com.
  2. It will default to Create Shipment. Enter the required information.
    • Each section has a “help” link that offers information about that section and what it means.
    • Once you have entered all the required information, you can use the Calculate link under “Rate and Transit Times.” This will give you an estimate of expense and delivery dates for various services.
    • FedEx Express, FedEx Ground, and FedEx Freight are three different services. Usually we use FedEx Express. FedEx Ground is useful for packages that don’t need to be there too quickly. There is an upper weight limit. We almost never use FedEx Freight.
  3. Under Billing Details, in “Your Reference,” enter the project ID, program code, or cost code 1.
  4. If there is dry ice, use the Special Services section to declare it. The lab will also need to fill out and apply one of the dry ice stickers available in 149 Rosenau. (Also, you need to be certified to ship dry ice. See the Resources section.)
  5. Use the Pickup/Drop-off section to schedule a pickup.
    • The website requires a four-hour window and 6:00 pm is the latest you can set the end time. Therefore, in order for a shipment to be picked up the same day, you must schedule it by 2:00 pm.
    • You only have to do this once per day! If you process more packages that day, choose the “Use an already scheduled pickup” option.
  6. If you’re shipping internationally, you will have to fill out a Pro Forma invoice.
  7. When you’re ready to ship, choose Ship. Print the Label, Receipt, and any other options (such as Pro Forma invoice.)
    1. The receipt goes to the CBM Reconciler.
    2. The label and any supplementary information goes into one of the adhesive pouches located in 149 Rosenau.
    3. All copies that print out are intended for the FedEx processors. If you printed a Pro Forma invoice, you will have to sign every copy.
  8. Put the package in the marked location outside of 148 Rosenau.
