When to Use It

To pay foreign individuals or businesses.

  • If you’re paying in US dollars, attach the wire transfer to a campus voucher.
  • If you are paying in a foreign currency, include all supporting documentation with the outgoing wire transfer form and submit via email to Jezreel Hunter, jezreelw@email.unc.edu.
  • If you are reimbursing someone whose bank account does not accept USD but who has at least one receipt in USD:
    • convert ALL the receipts to USD based on the exact date of each individual receipt. Include proof of the conversion rate, whether it’s a credit card statement or an OANDA printout.
    • create a wire transfer form with the USD amount in the Debit Amount field and the Credit Currency ISO code
    • create a voucher
    • attach the wire transfer to the voucher.

Procedure

  1. If this is the first time you’ve done a wire transfer, go to H:/ese_administration/Wire Transfers/ and create a folder labeled “Wire Transfers XX,” where “XX” is your initials.
  2. Fill out the Wire Transfer form in accordance with the instructions attached to it.
    • Reference 1 takes the form of XYZ###, where “XYZ” is your initials and “###” increments up whenever you do a transfer. (So your first would be 001, your second 002, etc.)
  3. Save the completed PDF, along with a scan of the invoice or receipts, to your Wire Transfer folder.
  4. Send physical copies of everything to the appropriate account manager, who will approve it and send it on.
